Event Rentals and Decor Terms and Conditions
Cancellation Policy for Event Rentals:
- Cancellation Period: Cancellations must be made in writing via email no later than 7 days prior to the scheduled event date.
- Refundable Deposit: A refundable deposit is required 7 days prior to the event booking to secure the reservation. This deposit must be sent by EFT to beautybagstudio@gmail.com and will be refunded within 24 hours after event has completed. If deposit is not received within 2 days of event date by EFT an assumption of intent to cancel will be taken and 80% of total rental fee will be forfeited plus $25 administrative fee will be taken and difference returned to you.
- Cancellation Fees: Cancellations made within 7 days and up to 3 days prior to the event date will result in a cancellation fee of 50% or $50 of the total rental fee, whichever is more. Cancellations made within 2 days or less of the event will result in a cancellation fee of 80% of total rental fee. There are no refunds for custom work done including signage or custom balloon colour requests that have already been purchased by the vendor, Beauty Bag Design Studio.
- Rescheduling: Clients may request to reschedule the event subject to availability. Rescheduling requests must be made at least 7 days prior to the original event date. A rescheduling fee of $50 may apply. All rental fees charged will be forfeited if a reschedule is cancelled.
- Force Majeure: In the event of circumstances beyond either party’s control (e.g., natural disasters, acts of terrorism, government restrictions), the cancellation policy may be waived or adjusted at the discretion of the rental company Beauty Bag Design Studio.
- Partial Cancellation: If only a portion of the rental items or services are cancelled, the cancellation fees and refund will be prorated accordingly.
- Refunds: Refunds, if applicable, will be processed within 14 business days after the cancellation date, minus any applicable fees.
- Final Decision: The rental company reserves the right to make the final decision on any cancellation or rescheduling requests.
- Communication: All cancellation or rescheduling requests must be communicated directly with the rental company’s designated contact person in writing by email to beautybagstudio@gmail.com.
- No-Show: Failure to notify the rental company of cancellation and failure to show up for the scheduled event will result in forfeiture of the entire rental fee.
- Event Location for Delivery and Pickup: Location will be confirmed in the contract, any change in location the day of the event will result in an additional fee of $25 - $100 or may result in the cancellation of the rental and fees paid will be forfeited. For rentals being picked up by the renter the event location must still be disclosed.
Policy Acknowledgment: By booking our event rental services, clients acknowledge that they have read, understood, and agree to abide by this cancellation policy.

Return and Care Policy for Event Rental Items
- Ownership and Responsibility: The rental items provided by Beauty Bag Design Studio remain the property of the company at all times. The client is responsible for the care and safekeeping of the rental items during the rental period.
- Prohibition of Alterations: The client agrees not to alter, modify, or make any permanent changes to the rental items in any way, including but not limited to painting, drilling, cutting, or adding any attachments or accessories, without prior written consent from Beauty Bag Design Studio.
- Responsibility for Rental Items: The client assumes full responsibility for all rental items from the time of delivery or pickup until they are returned to the rental company's designated location.
- Damage Waiver: A damage waiver fee may be included in the rental agreement to cover accidental damage to the rental items during normal use. This fee does not cover intentional damage, misuse, or loss of items.
- Notification of Damage: The client must promptly notify the rental company of any damage to rental items during the rental period.
- Assessment of Damage: Upon return of the rental items, the rental company will inspect them for any damage beyond normal wear and tear. If damage is found, the client may be liable for repair or replacement costs.
- Repair or Replacement Costs: The client will be responsible for covering the costs of repair or replacement for any damaged rental items, as determined by the rental company.
- Late Returns: Rental items must be returned to the rental company's designated location by the agreed-upon date and time specified in the rental agreement and/or discussed and agreed upon by both parties through email otherwise a late return fee will be added to the final invoice.
- Late Return Fees: If rental items are returned late, the client may incur late return fees, which will be a minimum of $25/hour but will vary based on distance and inconvenience to Beauty Bag Design Studio and it's owners and employees. Late fees may be charged on a per-day or hourly basis. Deposits may not be returned if late fees are incurred.
- Communication of Late Returns: In the event that the client anticipates a late return, they must notify the rental company as soon as possible to make arrangements. Please note late return fees may still apply.
- Loss of Use: Late returns may result in the rental company's inability to fulfill other rental orders, leading to loss of potential revenue. Therefore, late return fees may be imposed to compensate for the loss of use of the rental items.
- Policy Enforcement: The rental company reserves the right to enforce this policy and take appropriate action in cases of damage or late returns, including charging applicable fees and pursuing legal remedies if necessary.
- Policy Acknowledgement: By entering into a rental agreement with the company, clients acknowledge that they have read, understood, and agree to abide by this policy regarding damage and late returns.

Please note that adherence to this policy is essential to ensure a smooth rental experience for all parties involved.
Liability Waiver
I understand and agree to the following terms and conditions:
1. Assumption of Risk: I acknowledge that the use of the rented items involves inherent risks, including but not limited to property damage, personal injury, and other unforeseen incidents. I voluntarily assume all risks associated with the use of the rented items during the rental period.
2. Care and Use: I agree to use the rented items in a careful and proper manner and to follow any instructions provided by Beauty Bag Design Studio and it's owners and staff.
3. Liability Waiver: I release and discharge Beauty Bag Design Studio its owner, employees, agents, and representatives from any and all claims, damages, liabilities, or losses arising from or related to the use of the rented items, including but not limited to property damage, personal injury, or death.
4. Indemnification: I agree to indemnify and hold harmless Beauty Bag Design Studio, its owner, its employees, agents, and representatives from any claims, demands, or actions, including reasonable attorney fees, arising from or related to my use of the rented items.
I have read and understand the terms and conditions of this Release of Liability for all items provided by Beauty Bag Design Studio and it's owner and staff, and I agree to be bound by them.
I hereby confirm that I am of legal age to accept these terms and conditions and release of liability, and I have the legal capacity to enter into this agreement.
Any changes discussed and agreed upon by both parties through email will also apply and be binding based on these terms and conditions.
